What is auspicing?
Funding bodies provide grants to not-for-profit organisations that are legal entities, such as incorporated associations, like Jazzgroove, and to individuals where the grants, if required within a program's guidelines, are administered or auspiced through such organisations.

If you are interested in applying for a grant from the Arts NSW and want to approach Jazzgroove Association to be an auspicing body you must firstly submit a 1-page proposal to the Jazzgroove committee (email it to admin@jazzgroove.com with subject heading 'Request for Auspicing'). You must check with that there is sufficient time for consideration of your proposal at the next meeting. You must be a member of Jazzgroove Association.
The decision to auspice the application or not is based on assessment by the Jazzgroove committee and is final.
If any member of the Jazzgroove committee is involved in the application, that member will not participate in the decision process.
Conditions of the grant application if Jazzgroove is to auspice your grant:
- The Applicant, not Jazzgroove, prepares and submits all forms and documentation.
- The Applicant pays Jazzgroove an administration fee of $50 at the time of application, to cover costs of liaison and record keeping by the Administrator.
- The Jazzgroove President signs the application and/or standard letter in support of the grant, and/or any other official documents required by funding body.
Outcomes:
- If the application is unsuccessful, there is no further action on Jazzgroove's part.
- If the application is successful, the funds will be received by Jazzgroove and passed on to the applicant, less a 5% deposit which will be retained until satisfactory acquittal – see below.
Acquittal of the grant
The Applicant prepares and submits all forms and documentation pertaining to the acquittal of the grant at the end of the project, and must supply this to the committee prior to the meeting before acquittal deadline at the latest, for approval and signoff.
When the Applicant provides evidence that the funding body is satisfied with the grant acquittal document, the Jazzgroove Administrator will forward the retained deposit to the applicant.
If the applicant cannot/will not supply an acceptable grant acquittal to the funding body when required, Jazzgroove will be obliged to prepare and submit this acquittal, to avoid jeopardising the Association's reputation and future funding profile. In this case the applicant will forfeit the deposit, which will be used to fund the preparation of the acquittal. This situation is highly undesirable. Jazzgroove will not consider any further auspicing application from anyone it deems as placing the Association at risk.
